Your Opportunity

We are currently seeking a Receptionist/ Administrative Assistant to manage the reception desk in our Toledo, Ohio office. An integral member of the Administrative Team, this position performs various support services for the office, colleagues, and project teams that can range from day to day. The successful candidate must have demonstrated experience in a similar role, have a high degree of professionalism and communication skills, possess excellent client service skills, hold strong organizational skills with the ability to focus on multiple tasks and changing priorities, and have confidence in dealing with a wide range of internal and external clients.

Your Key Responsibilities

  • You're the front facing answer phones and greet guests

  • You perform clerical and administrative functions such as filing, sorting, mail and package handling, and scheduling appointments/events.

  • You perform ongoing project documentation organization such as electronic folders, subconsultant contracts, project invoicing, progress reports, and scheduling

  • You perform project functions such as format and grammar reviews of reports and deliverables using Microsoft Office ® software

  • You assist with event planning and preparation.

  • You maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, etc.)

  • You order office supplies and maintain supply inventory

  • You review and submit invoices for payment to Accounts Payable

  • You conduct monthly Health and Safety checks on equipment such as AED, fire extinguisher, and first aid kits

  • You assist with printing and laminating

  • You order business cards and promotional materials

  • You ensure proper operation of printing and laminating equipment such as completing preventative maintenance requirements and calling for repairs

  • You format internal and external memos, letters, correspondence, and reports

  • You support HR and the onboarding process

  • You keep kitchen supplies stocked

  • You perform other administrative duties as requested

Qualifications

Your Capabilities and Credentials

  • Detailed oriented and organizational skills

  • Strong written and verbal communication skills

  • Ability to provide follow up in a timely manner and prioritize multiple tasks with keen attention to detail

  • Ability to work effectively within a group, as well as independently, and enjoy working with different personality styles and management levels

  • Possess intermediate to advanced skills in Microsoft products that include Outlook, Word, Excel, and PowerPoint

  • Skills in using computer applications for word processing, spreadsheets, databases, internet navigation, e-mail, calendars, and applications that include Teams and Adobe

Education and Experience

  • Minimum of High School Diploma or equivalent

  • Minimum of two (2) years’ experience working in a professional office environment
