Summary The position is located at the Southern Arizona VA Health Care System (SAVAHCS), in the Women Veterans Program. The position serves as Program Support Assistant for the Women Veterans Program, and is responsible for planning, coordinating, and performing a wide range of daily critical administrative, program, and technical functions to support quality gender-specific services for women Veterans within the SAVAHCS' healthcare delivery system. Responsibilities The Program Support Assistant provides administrative, program and technical assistance in the areas of day-to-day operations and program planning/evaluation for the overall Women Veteran Health Program. Formats and distributes minutes. The incumbent processes and facilitates appropriate distribution of all incoming correspondence, and ensures timely follow-up, if required. The incumbent maintains calendars and coordinates meetings for the Women Veterans Program Manager. The incumbent processes incoming phone calls for the Women Veterans Health Program and appropriately intervenes as necessary. Assist the Women Veterans Program Manager (WVPM) in ensuring that all new staff receive New Employee Orientation including new employees, and volunteers. Functions as the Control Point Clerk for Women Veterans Health Program. The incumbent acquires supplies and services to meet the purchase, rental, or lease needs for the Women Veterans Health Program. Processes frequently purchased items under contracts or agreements. The incumbent does budgeting, tracking, reporting for data collection for reporting to the WVPM and maintains tracking spreadsheets to meet National/VISN/local deadlines The incumbent is responsible for planning, organizing, coordinating, implementing, directing, integrating, and evaluating gender data collection and evaluation mechanisms related to performance improvement initiatives for women's health throughout the healthcare system. The incumbent will track and gather data needed for information management, education and reporting. Works with other services. Assists with performance improvement activities, displays, and projects affiliated with the Women Veterans Program. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/20/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. If you are a current VHA employee, you must include an SF-50 that shows your time-in-grade eligibility with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience utilizing office automation to maintain files, generate reports and create documents such as meeting minutes and memoranda; experience providing administrative support to staff and oversight of administrative processes; scheduling and arranging meetings, events, or conferences. You will be rated on the following Competencies for this position: Administration and Management Clerical Computer Skills Customer Service Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary although some slight physical effort may be required. Additional Information Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
