The Department of Mechanical Science and Engineering, consistently ranked in the top 6 programs in the nation, seeks qualified candidates for the position of Accounting Officer. This position provides guidance and procurement support for the Mechanical Science and Engineering department.
Duties & Responsibilities
- Provide information and consultation services to faculty, staff and students regarding State of Illinois, University, campus and departmental procedures for purchasing, and place purchases on their behalf in iBuy, Pcard and Banner purchase orders. Stay up-to-date on policy and procedural changes as necessary.
- Provide information and consultation services to faculty, staff and students regarding State of Illinois, University, campus and departmental procedures for travel and other reimbursements. Process reimbursements for faculty, staff, students and visitors in accordance with policies and procedures. Make travel arrangements for faculty, staff, students and visitors as necessary using the Tcard as appropriate. Make carpool and other reservations as appropriate. Stay updated on policy and procedural changes as necessary.
- Independently research and resolve problematic purchases, reimbursements, foreign national and other transactions. Work with contacts in University Payables, Purchasing, or other administrative units as necessary to resolve such transactions. Prepares and reconciles invoices with accounts receivable payments and outstanding balances. Process gift transmittals and deposit checks with University of Illinois Foundation and Bursar\'s Office.
- Provide administrative support for the various departmental events such as awards banquets, named lectures, investitures, and other events as necessary, working in coordination with Undergraduate Programs, Graduate Programs, Advancement, Department Head and other offices. This includes composing necessary correspondence for events, obtaining prices and initiation procurement with vendors, arranging and confirming schedules, designing and implementing organizational methods to monitor arrangements, creating and maintaining contact databases for events, coordinating event mailings, arranging visitor travel arrangements and itineraries as needed.
- Process student scholarships and awards, such as RET stipends, and other payments as necessary through the Departmental Award Web System (DAWS). Process reimbursements and stipend payments for Foreign Nationals as necessary and in accordance with University policies and procedures.

Minimum Qualifications
High school diploma or equivalent.
Any one or combination totaling two (2) years (24 months) from the categories below:
Course work in accounting, as measured by the following conversion table or its proportional equivalent:
9 semester hours equals two (2) years (24 months)
Course work in any discipline as measured by the following conversion table or its proportional equivalent:
30 semester hours equals one (1) year (12 months)
Associate\'s Degree (60 semester hours) equals eighteen (18) months
90 semester hours equals two (2) years (24 months)
Work experience in bookkeeping, office support, or closely related experience.
Knowledge, Skills and Abilities
- Strong customer service skills. Working knowledge of secretarial and general office practices and procedures. Knowledge and use f proper grammar, spelling and punctuation, sentence and paragraph structure and formatting. Proficiency with computer applications such as Microsoft Office Suite, including Outlook, web browsers and search tools. Professional appearance in dress and demeanor. Ability to work independently and a team environment to analyze and investigate a variety of questions and problems.
Appointment Information
This is a 100% full-time, non-exempt Civil Service Accounting Officer position, appointed on a 12-month basis. The expected start date is as soon as possible after close.

This is a bargained position and as such, the salary is driven by the collective bargaining agreement. The entry-level salary for the Accounting Officer classification is \$42,242.85 (\$21.663/hour).
Hybrid work options may be available for this position, with the ability to be on-site at the University of Illinois Urbana-Champaign campus as needed per the University\'s Workplace Flexibility policy
