The Program Coordinator is part of Calhoun Hall in the College of Arts and Science at Vanderbilt University. This position serves as coordinator of the Ph.D. program in Economics, working directly with the Director of Graduate Studies, and of the M.A. program (Graduate Program in Economic Development/GPED), working with the Director of the GPED. This position also works directly with the Administrative Manager, to whom this position reports. This position manages one administrative staff member. The position requires a thorough understanding of University policies and procedures.

Duties and Responsibilites:

Graduate Student Program Coordinator:

  • Serves as point of contact for all current graduate students as regards administrative issues regarding their schedules, stipend and payroll payments, insurance, and tuition.

  • Serves as point of contact for all questions regarding the graduate programs from faculty, staff, and prospective students.

  • Works closely with the Director of Graduate Studies and of GPED, the Graduate School, and enrolled students to track progress toward matriculation, schedule comprehensive exams and dissertation defenses etc.

  • Works with Administrative Manager to coordinate expenses related to the graduate program, including several endowments, which provide fellowships and employment for students.

  • Coordinates prospective graduate student recruitment.

  • Processes/assists department with SLATE graduate application system.

  • Responsible for graduate program content on the department website.

  • Processes graduate student payroll including stipend payments and payroll in Oracle.

  • Processes all graduate award forms every semester.

  • Processes terminations and new hires for the graduate students in Economics.

  • Gathers all teaching assistant preferences (of faculty and students) and compiles into a spreadsheet to assist the DGS in making assignments.

  • Assist sponsored students as needed, e.g. letters required by sponsors.

  • Organize and help plan annual GPED field experience.

  • Assist GPED director to develop and conduct the math workshop for incoming students.

Financial:

  • Assists Administrative Manager with budgeting and expensing for the Ph.D. and M.A. programs.

  • Responsible for graduate student hires within the department, as well as for graduate awards forms (insurance and tuition).

Other tasks, as needed.

Supervisory Relationships:

The position has supervisory responsibility over two Program Specialists. This position reports directly to the departmental Administrative Manager.

Qualifications:

  • A High School Diploma or GED is required.

  • A Bachelor’s degree from an accredited institution of higher education is preferred.

  • At least two years of professional experience are preferred.

  • Strong interpersonal communication skills are necessary.

  • Ability to perform complex tasks and to prioritize multiple projects and competing deadlines is necessary.

  • Demonstrated ability to work independently and in a team setting is necessary.

  • Knowledge of University policies, processes, and procedures is preferred.
