Please note: this position is onsite and will require an onsite presence M - F. However, due to current office construction, it will start as hybrid, with many days being remote, until construction is completed in November.
Position Summary
The Executive Assistant II – Federal Government Affairs supports the efforts of the Duke Energy Washington, DC office, reporting to the Vice President of Federal Government Affairs, and supporting two Vice Presidents of Federal Affairs , providing administrative duties; conducting research on legislative and industry matters; assisting with the efficient operation of the company political action committee; overseeing the organization and effective operation of equipment; ordering of office supplies and refreshments, managing subscriptions and invoicing (processed in accordance with company accounting guidelines and department budget protocol); and coordination with building managers for events, programs, security, traffic updates, cleaning, construction projects, etc.
Responsibilities
Provide executive-level administrative support to the Vice Presidents Federal Government Affairs , including travel arrangements, scheduling of complex meetings, time reporting and submission of expense management with proper documentation
Write executive briefs as needed
Serve as a receptionist, greeting visitors to the office, answering incoming calls and managing relevant team and corporate meeting schedule and logistics
Monitor monthly budget reports for variances and ensure accurate reconciliation of expenses
Provide support as necessary for Duke Energy executives visiting Washington from corporate headquarters or any of our service territories
Coordinate the administrative support for the Political Expenditures Committee and the External Relations Committee, under the leadership of the DukePAC manager, including scheduling of meetings, distribution of agendas and advance materials and drafting of meeting minutes. Ensure meeting technology (such as VTC equipment) is available and operational
Policy research and product support
Compile research and track relevant legislation or regulation as needed. Compile research and materials for Hill and industry meetings
Compile and file all required lobbying reports, lobbyist registrations or other government reports in consultation with legal counsel to ensure compliance with all relevant rules and regulations
Oversee management of department's SharePoint site
Maintain records following relevant company retention schedules
Support planning, and coordination of special events including fundraisers and major meetings
Assist PAC manager in coordinating and processing FGA’s and Political Action Committee (PAC) requests
Provide occasional DC-based administrative support for leaders within the EAC function, specifically the Chief Sustainability and Philanthropy Officer and Managing Director of Policy, to include hosting external guests, coordinating catering, assembling briefing packets and other duties as assigned.
Process and streamline invoices in collaboration with EAC function executive support.
Basic/Required Qualifications
Bachelor’s degree
In addition to required degree, six (6) years minimum of related work experience
In lieu of bachelor's degree and six (6) years minimum of related work experience, high school diploma/GED and 10 or more years of experience
Desired Qualifications
Bachelor’s degree
Three (3) to five (5) years of executive administrative experience
Experience writing executive briefs
Experience working with Microsoft office products, including Outlook, Excel, Word, and PowerPoint
Experience compiling and filing lobbying reports
Research and tracking experience of industry relevant legislation or regulations
Experience filing lobbyist registrations or other government reports in consultation with legal counsel to ensure compliance with all relevant rules and regulations
Ability to positively and effectively interact and communicate, both verbally and in writing, with a professional and culturally diverse workforce as well as with those external to Duke Energy, such as community-based organizational groups, industry-related organizations, government agencies, etc.
Self-motivated; takes initiative to maintain productivity with minimal oversight
Demonstrated ability to build working relationships with all levels of organization – inside and outside of Duke Energy
Demonstrated ability to manage confidential information with integrity
Thorough knowledge of Duke Energy organization, policies and procedures
Experience with and thorough understanding of compiling and managing team expense reports
Experience with reconciling budgets
A demonstrated initiative with strong problem-solving skills
Demonstrated ability to communicate (both written and oral) in a clear, concise and effective manner
Experience working in a fast-paced, demanding, and collaborative environment with changing conditions
Working Conditions

May be required to work overtime
Onsite Mobility Classification – Work will be performed in the Washington D.C. office
Hourly pay:
$36.06/hr - $43.75/hr
Hourly pay is determined based on a variety of factors, including but not limited to: responsibilities of role, years of related experience, and internal equity. Hourly pay amount may come in at any point of the range listed.
