The Opportunity:

We are seeking an energetic individual to support our Executive Administrator in managing various office and IT administrative functions. This role will maintain office order, handle some IT admin duties, and ensure smooth operations. The ideal candidate will be proactive, tech-savvy, and capable of assisting with all administrative functions.

Essential Duties and Responsibilities: 

  • Manage office furniture, supplies, and equipment, including organizing and maintaining inventory levels. 

  • Coordinate meeting and events, including room setup, equipment setup, furniture arrangement, and related logistics. 

  • Support domestic and international travel arrangements for employees, including transportation and lodging needs. 

  • Serve as the primary point of contact for vendors, and assist with related tasks as needed. 

  • Liaise with IT MSP technicians to troubleshoot issues, coordinate equipment setup, and implement improvements. 

  • Oversee receiving and shipping processes (UPS, USPS, FedEx) and manage the distribution and return of office and IT equipment. 

  • Order and ship supplies and equipment for employees as required.  

  • Assist with the administration of programs, including CPE Express, SmartBenefits, and monthly parking enrollments or cancellations. 

  • Manage conference and event registrations as requested. 

  • Perform other duties as assigned by the Executive Administrator. 

    You Have:  

  • High school diploma is required

  • Strong communication skills with the ability to address and resolve issues effectively. 

  • Attention to detail and highly organized with the capability to troubleshoot and solve problems. 

  • Knowledge of Microsoft Office Suite is required. 

  • Flexibility to work long hours or outside of core hours with limited notice, including for planned IT maintenance.

    Clearance:

    Environment:

    The role is based in an office setting and requires lifting and moving up to 50 pounds, extensive computer usage, and strong verbal and written communication skills.

Salary

Salary at Williams Adley is determined by various factors, including but not limited to the individual’s particular combination of education, knowledge, skills, competencies, experience, contract-specific affordability, and organizational requirements. The projected compensation range for this position is between $50,000.00 and $55,000.00 (annualized USD) based on experience, skills, and certifications. The estimate displayed represents the typical salary range for this position and is just one component of Williams Adley’s total compensation package for employees.
