About the Role
Inputs and processes orders for materials or merchandise from sales staff or direct customer contact. Maintains customer files with sales contract and other information. Distributes order sheets to respective departments. Coordinates with departments regarding order status, shipping dates, prices, product availability and back orders. Tracks sales shipment, delivery, billing and backlog activities. Interfaces with customers in response to inquiries regarding status of orders. Resolves customer order difficulties and ensures customer requests are handled appropriately and in a timely manner.
Primary Responsibilities
Receive and Log Asset Requests (AR) and update as required.
Obtain AR sign-offs
Work closely with the Demo Project Manager in planning and executing on AR’s.
Provide status input to Project Manager in alignment for Project Schedules
Demo, Tradeshow, User Conference, Miscellaneous execution and pick-up:
Budget Approvals, Bailment Agreements, Insurance Requests
Interpret Export requirements
SMS/Shipping preparation admin work
Ensure fluid communication with Export & Logistics Coordinators
Post weekly Trade Show and Demo Report
Coordinate Tech Support requirements with Demo Technical Supervisor
Coordinate Demo Shipping, Bailment Agreements
Coordinate US and Canadian Export Permits to support Demo and other Sales Support Activities including Permit usage reporting and Participant Logs
Ensure trip reports are filed against AR Number for each demo or tradeshow and repair requisitions are raised with CSG if repairs are required
Track and log AR budget estimates and reconciling with actual to budgeted amounts in supporting the monthly budget forecast and accruals cycle
Required Capabilities
Proficient in MS Excel, MS Word and MS PowerPoint (MS Office)
Strong organizational skills with the ability to prioritize workload
Excellent written, verbal communication and problem solving skills
Team player attitude; ability to develop strong working relationships with department representatives, managers and support staff
Ability to deal directly with internal and external customers
Experience in shipping and way bill tracking
Strong background in Export Control and Compliance as related to Temporary Export of Sales Demo Assets
Knowledge in filing and tracking techniques
Desired Education and Experiences
Requires highly developed job knowledge / skills.
2 years post-Secondary / Degree with a minimum of 4 years of prior related experience.
